Decide which numbers your team actually needs

A dashboard should answer the questions people use to make decisions. We start by identifying those questions, where the answers currently live, and how often the information needs to change.

A sales manager may need overdue follow-ups and open orders, while an operations manager needs stock exceptions and unresolved requests. Each view can use the same underlying records without giving everyone access to every detail.

Agree on the meaning of each number

A dashboard is only useful if people agree on what its figures mean. An open order could mean one that has not been dispatched, one that has not been invoiced, or one that has not been paid. We establish the definition before displaying the total.

We also identify how often each source can update. A report refreshed once a day should not look like a live view of the last few minutes. The page can show when information was last refreshed.

Example: reviewing outstanding work

An operations dashboard might show orders waiting for stock, invoices waiting for review, and support requests without an owner. Each summary should lead to the relevant records so staff can act on the information.

We agree on permissions before combining those records. A team member may need the status of an invoice without permission to view every financial detail.
