Share the right information with each partner
A partner portal is a separate online area where suppliers or other external contacts can submit information and check agreed updates. It can reduce repeated emails asking whether a document arrived or an invoice is being reviewed.
Access needs careful planning. We establish which company each account belongs to, what its users can view, and which actions require approval. Internal notes and other partners’ records should remain outside that access.

Keep each supplier’s records separate
A supplier should see its own submissions and the updates you choose to share. We agree on how company accounts are created, who can invite another user, and what happens when a contact no longer works with that supplier.
Internal comments, prices agreed with other suppliers, and staff-only approval notes need separate access rules. These boundaries form part of the design rather than a final setting added at launch.
Example: submitting an invoice for review
A vendor uploads an invoice against an agreed order reference. The portal checks for required details, records the submission, and gives the vendor a status to follow. Your staff review the invoice in the agreed internal process.
The submission status should not be confused with payment confirmation. We define what each status means and which system provides the authoritative payment record.

Will each partner have a separate login?
Account and organisation boundaries are planned around your partner structure. We define what each user can access and how invitations and account closure work.
Can the portal show payment status?
Where a reliable payment record is available, it can show agreed updates. The accounting system remains the source for the status rather than treating an uploaded invoice as proof of payment.
